Reporting directly to the Sales Manager / General Manager, the HVAC Coordinator will strongly contribute to the efficiency of the organization through multiple administrative duties. With your supreme Customer Service skills, you will support the Sales and Installation Departments within the company and be the primary point person for all scheduling-related activities and actions. This is an on-site position at our Support Center in Woodinville, WA

HOURLY PAY: $21 to $23/hr [DOE] with SPIFF/Bonus opportunity based on performance.

Key Responsibilities:

  • Handle all inbound transfer calls from the CSR’s (Customer Service Reps) and ensure that the customer experience is excellent.
  • Utilize professional etiquette to answer phone lines and greet the public and/or customers with a warm, inviting personality.
  • Interact with the Installation Technicians and Sales staff to ensure top-level communication as it relates to all components of the job and the customer’s needs and requests.
  • Schedule Comfort Consultants proposal appointments and track the results of each appointment.
  • Work closely with the Sales Manager/General Manager on all scorecard-related numbers and statistics and provide accurate reports.
  • Work closely with the Installation Manager to ensure the field technicians are delivering on all installation items and promises to the customer.
  • Coordinate both the Installation and Sales schedule with some assistance from the Installation Manager.
  • Serve as a back-up to the appointment setting process for the service department.
  • Filing, making copies, printing / collating, and any other pertinent administrative responsibilities as assigned.
  • Assist all other CSRs with projects as needed

Qualifications and Characteristics you bring to the job:

  • Customer-first attitude with the ability to relate to different personalities
  • Strong Organizational skills (ability to multitask across 3 platforms)
  • Able to organize, prioritize, and deliver excellent customer service skills
  • 1 to 2 years of Customer Service experience, speaking with Customers or Clients over the phone.
  • Outstanding verbal communication skills, with the ability to communicate positively and clearly with peers, managers, and customers
  • Experience with Service Titan or other CRM software is a plus
  • Proficient in MS Office software, including Excel and all other app-related software.
  • Have a good sense of judgment/decision-making
  • Self-driven and detail-oriented team player
  • Positive influence with others and a team-oriented focus.
  • Willingness to invest time in training and classes
